Teesside International Airport is seeking an efficient administrative support to the operations department, working across all areas of the department to assist with operations management, documentation control, regulatory amendments and revisions, as well as contract and diary management.
Main Duties and Responsibilities
Ensure and co-ordinate the provision of an efficient and professional reception/front of house service and meeting room bookings.
Screening and dealing with telephone calls professionally, re-directing or taking messages and using initiative to deal with queries where appropriate.
To manage internal / outgoing post for the company and internal stakeholders, as required.
To monitor and order a range of supplies including but not limited to stationery, kitchen supplies, office equipment, using the Company’s procurement system.
Undertake all appropriate tasks associated with the servicing of meetings.
Ensure and co-ordinate the provision of a wide range of central administrative support to the airport.
Support the Personal Assistants to ensure cover during annual leave and busy periods, including all aspects of diary management, preparation for meetings, travel, correspondence and monitoring of email inboxes in a confidential and sensitive manner.
Assist with the production of annual schedules of meetings including pre-agenda meetings, as required.
Attend meetings where required and produce an accurate record of meetings in line with company requirements. Ensure that meeting minutes and agreed actions are distributed in a timely manner.
Ensure the timely and accurate production of minutes, report and papers as necessary for the Boards and Committees for which you are responsible.
Provide cover for meetings in the absence of other team members.
Establish and maintain effective office systems including data management and filing. Ensure any archiving /disposal of company records is in accordance with retention policies.
Implement, follow and improve document control procedures. Ensuring all documentation meets formal requirements and required regulatory standards.
Prepare and complete financial related processes and paperwork accurately and in line with company procedures including expenses, mileage claims, purchase orders, use of company credit card and gifts & hospitality register.
Take an active role in assisting the operations team to cover during busy periods of operations as required.
Drive individual and team development through performance management in line with policies and procedures.
Ensure that the safety and service standards of operations are observed, monitored and practiced.
Ensure a high quality and safe level of customer service especially in case of irregular operations (delays, cancellations, denied boarding cases, etc.)
Complete regular compliance checks, internal audits and complete fault reports/SIR (safety incident report) as required.
The successful candidate will have:
5 GCSEs A-C Grade
Appropriate Business Admin qualification or equivalent experience
Experience of working in an office environment
Excellent communication skills
Excellent IT skills (Microsoft suite of products – word, excel etc.)
Ability to work with confidential and sensitive information.
Ability to use own initiative and manage own workload.
Ability to meet deadlines, work under pressure and achieve multiple objectives.
Confident communication skills, friendly and approachable
